Primary Responsibilities & Attitude
 
You will be an integral part of our Calgary team working 8:30 MST to 4:30 MST, Monday through Friday. On a day-to-day basis, you will be responsible for managing and executing a variety of operational tasks. As our business is continually evolving, you will play an active role in helping us shape its growth. We are ideally looking for someone who has experience in the Registered Plans and Transfer Agency industry, is known for their work ethic, and “can do” attitude, and considers themselves to be an entrepreneurial team player.
In this role, you will build strong relationships across all teams in Canada and will work alongside various individuals to deliver exceptional customer service. You will take pride in your work, paying attention to detail and completing tasks efficiently. But most importantly, you’re eager to be a part of a fast-paced, growing company.

You are responsible for:

  • Ensure accurate and timely responses to all inquiries and corrections internally and externally.
  • Maintain and create event timelines and operating procedures with the focus of process improvements.
  • Work with internal and external teams to ensure successful Compliance audits.
  • Interface with external client contacts
  • Sales meetings and presentations with potential clients
  • Manage and administer employee plans.
  • Open new accounts based on application forms
  • Process transfer requests and other transactions.
  • Follow ups on missing documentation.
  • Processing Monthly dividends and DRIPs
  • Send out online access to new clients.
  • Audit of team members work.
  • Quarterly Audit of securities and cash held in trust.
  • Responsible for finding resolutions for issues or problems arising from accounts or processing.
  • Preparation of annual tax filings
  • Responsible for training of other team members of processes and systems
  • Preparation of annual statements
  • System updates and administration
  • Review eligibility of new issuers
  • Billing for all services including annual trustee fees, transactions and issuer eligibility on a monthly basis.
  • Maintain a strong focus on retention and growth by delivering exceptional service.
  • Onboard clients, with a focus on making the transition process seamless for our clients. 
  • Participate on weekly department meetings and critically assess the current processes with a focus on finding efficient and innovative solutions.
  • Demonstrate ability to serve as a knowledgeable resource to the organization's management and executive team that provides leadership and direction.
  • Verifies all aspects of client identification procedure and necessary onboarding documents are provided and in accordance with Know your Customer (KYC), AML/ATF policies guidance.
  • Ensure CRA requirements are adhered by.

Skills and Experience:

·       High attention to detail and accuracy.

·       Solutions-based attitude and an eagerness to drive process improvements by identifying problem areas and presenting solutions to management.
·       Strong computer skills and ability to adapt to new technologies.
·       Willingness and desire to achieve personal goals and team goals.
·       Strong interpersonal skills.
·       Knowledge of RSP and TFSA administration.
·       Knowledge of CRA rules and regulations
·       Ability to maintain confidentiality of any sensitive information as part of the job function.
·       A working knowledge of the securities industry as it relates to transfer agencies is preferred.
